SharePoint - How to upload a file or folder


From within your team site, you can share files to your colleagues quite easily. All files that are uploaded will be collated in a list which can be viewed from your web browser and within your office programs (Word, Excel etc.). To upload any file, whether it be a word document, excel spreadsheet, or a PDF you have 2 options:

1. How to Upload Files to Document Libraries

Scroll down until you see the relevant Documents Library, it will generally look similar to this:


Now hit  and select either Files or Folder. Your Windows Explorer should now appear and ask you to select a file or folder to upload; like this:


Simply highlight the file or folder you wish to upload, and hit 'Open' in the bottom right of the window above.

Once the file has successfully opened, this prompt will appear, and your file or folder will join the rest of the files that have been uploaded to your team site. 


2. Or Drag and Drop to Document Libraries

This way is even easier! Simply have your Document Library open in your preferred browser, open Windows explorer in another window, navigate to the files or folders you want to upload and drag them into the Document library window. You have the option of dropping them into the root of the opened folder, or into any other visible folder simply by hovering the dragged file over that folder before letting go of the left hand mouse button - give it a try!

How do I share these files with my colleagues?

As mentioned above, files you've created / imported are visible within the Documents box on your team site as well as within the recent files in Word, Excel etc. However, if you're looking for an efficient way to share the document, you can simply click on the  icon next to the file name, and hit 'Share'. This will then generate a web link that you can send to whoever you'd like to view the document. You can also use the 'Copy Link' function that will net you the same result. 

You're also able to send the link directly to someone's email address, by clicking the  icon. you'll be greeted with a box like this, which will ask you to enter the recipient's email address, and write a brief message explaining what the document is all about.

NOTE - at this point ensure to choose the appropriate security for the file - you can allow the recipient to edit or only view the file, and choose who can open - only the person you send it to, anyone in Pedders, anyone at all etc..


















Once the link is sent, the recipient will see the following in the email:




















Once they click 'Open', they'll be able to view the document you've uploaded!
