Emailing content from SharePoint in most cases will bounce back, either because the item/s you are sending are too large for the email system to handle or, if multiple files downloaded to be sent, they are put into a ZIP file, most if not all email systems will not allow ZIP files to be sent.
The quickest and easiest option to share content from SharePoint to someone who may not have access to the area the content is located is by sharing either the file itself, or the folder it is located in.
To share content internally, follow this process.1. Open the folder the content you need to share is in.
a. if only sharing one file, select
that file
b. if sharing multiple files in a folder, open that folder
2. Click Share in the toolbar
3. Enter the name of the person you are sharing the content
to, and select if you would like them to be able to edit the file or not
4. Click Send
NOTE - when the link you send is used you will receive an email notification.
1. Open the folder the content you need to share is in.
a. if only sharing one file, select
that file
b. if sharing multiple files in a
folder, open that folder
2. Click Share in the toolbar
3. Click the settings cog at the bottom of the page
4. Ensure “People you choose” is select, also set an access
level (view or edit) and set an expiration date for the sharing link.
5. Enter the email address of the person you are sharing
with (a notification will appear to let you know the person is outside your
organisation)
6. Click Send.
